GENERAL STATEMENT:
The RiverCom Administrative Assistant supports the Administrative Services Manager and Director, executes and coordinates a wide range of highly responsible varied or specialized administrative work including bookkeeping and accounting assistance, dictated, written, or composed etc. The work is performed independently or with the assistance of other office personnel. Work performed is characterized by a variety and complexity of activities and the exercise of more independence, discretion and judgment in applying guidelines to work situations. Supervision is of a general nature, allowing a great deal of latitude in carrying out tasks to completion.
The Administrative Assistant provides a wide variety of administrative details such as setting up appointments, reviewing all correspondence, researches and gathers information for the Director and/or Administrative Services Manager regarding administrative and operational issues maintains office records, coordinates communications with other departments, agencies and cities as assigned.
ILLUSTRATIVE EXAMPLES OF DUTIES AND ESSENTIAL JOB FUNCTIONS:
Assists in preparing agenda and related materials for Staff and Board meetings.
Attends Board Meetings, takes and transcribes minutes.
Prepares and records leave balances.
Prepares vouchers for issuance of checks or warrants.
Assists with staff travel arrangements and rectifies travel reimbursements.
Assists the Director in gathering Communication Center statistical data and creating reports.
Assists the Administrative Services Manager in the preparation of recurring and special financial reports.
Communicates and acts as a liaison with other agencies, insurance companies, vendors and customers.
Serves as a Notary Public for RiverCom.
Assists in writing and the production of RiverCom Newsletter.
Performs other work as required.
Prepares and distributes legal notices for Board meetings.
WORKING CONDITIONS/PHYSICAL ACTIVITIES:
Approximately 90% of duties are performed in a secured office with artificial lighting. Work is performed primarily in an office environment and requires the ability to operate a personal computer, calculator, and other office equipment. Substantial phone contact necessitates the ability to communicate effectively. Regular, punctual and consistent attendance is a condition of continuing employment.
KNOWLEDGE AND ABILITIES:
Knowledge of: Clerical accounts maintenance, general bookkeeping, including accounts payable, voucher processing, and check reconciliation. Modern office methods, procedures, and equipment including personal computers/computer terminals, related peripherals and application software.
Ability to: Complete assigned tasks within a reasonable period of time. Perform a variety of tasks requiring a high level of accuracy and attention to detail. Schedule workflow to meet regular deadlines. Establish and maintain effective working relationships with fellow employees and representatives from user agencies. Communicate effectively, both orally and in writing.
QUALIFICATIONS:
High School Diploma or G.E.D. is required.
3 years free from illegal drug use at the time of application.
Three years clerical and/or general office experience is required.
Accounting experience is highly desirable.
Experience in public contact is desirable.
A telephone at residence is required.
Proven experience in transcribing minutes at high level Board meetings.
LICENSES, CERTIFICATES & OTHER REQUIREMENTS:
Qualified applicants must possess and maintain a valid Washington State Driver's License and the minimum amount of automobile insurance required by Washington State law.
